Are you prepared to take on a pivotal role in overseeing the daily administrative functions within a dynamic and fast-paced division? The Corporate Finance Division is seeking an Executive Director's Administrative Assistant to support the Director of Financial Reporting & Operations.

The ideal candidate will excel in a high-energy environment, managing multiple priorities with agility. Responsibilities include providing executive support, organizing and coordinating meetings, managing approval processes for various requests, and executing other senior administrative tasks for the division.

This role requires central coordination for all administrative matters within the branch, necessitating a strong understanding of the ministry to effectively manage information flow. Success in this position will depend on your ability to foster collaborative environments and engage stakeholders in a professional manner.

Additionally, a keen awareness of current issues affecting the ministry and an understanding of their impact on operations is crucial. Your adaptability will enable you to thrive in a fast-paced setting with shifting priorities.

Qualifications

Required:

• High school diploma and three years of relevant experience, including:

• Proficiency in Microsoft 365, Adobe Acrobat, SharePoint, and virtual meeting platforms (e.g., MS Teams, Zoom);

• Expertise in calendar management and meeting organization;

• Strong written and verbal communication skills;

• Familiarity with legislation and departmental/government financial and administrative policies;

• Experience in expenditure management and ensuring financial accountability.

Equivalency:
Directly related experience or education may be considered on the basis of: one year of experience for one year of education or one year of education for one year of experience.

Assets:

• A diploma or experience in a finance-related field.

• Relevant experience in office or branch administration.

• Experience supporting executive management.

Hours of work: 36.25 hours per week, Monday to Friday.
