Role Overview

We are currently recruiting for a Document Specialist Evening Supervisor in our Document Production Department. This role requires a candidate with excellent interpersonal skills, strong leadership abilities, and a proven track record in team management. The ideal candidate should be able to take initiative, work with minimal supervision, and effectively coordinate and motivate team members to ensure smooth operations.

Key Responsibilities
  • Correct and format corrupted documents.
  • Troubleshoot technical issues with documents.
  • Revised documents as per professionals' mark-ups.
  • Convert documents from various versions to Word using styles and cross-references.
  • Convert PDFs to Word with proper formatting, as well as conversions to PDF from Word, Excel, etc.
  • Manipulate PDF documents (redacting, reducing size, adding text, etc.).
  • Compile closing books using Closing Folders.
  • Transcribe documents, including letters, memos, and correspondence, or copy-type handwritten notes.
  • Coding documents in Ipro Eclipse.
  • Provide support to lawyers, articling students, law clerks, and staff as required and requested.
Requirements
  • A minimum of 8-10 years as a document specialist in a similar environment.
  • Proven experience in a leadership role, with the ability to manage and mentor a team effectively.
  • Advanced computer skills in Microsoft Word, Excel, PowerPoint, Visio, Kofax, Adobe Professional, Ipro Eclipse, Internet applications, and digital dictation software.
  • Strong administrative and organizational skills, with exceptional attention to detail.
  • Ability to work under pressure, be flexible, and adapt to changing situations easily.
  • Ability to work well with all types of personalities and levels of responsibility.
  • Ability to manage multiple priorities, meet deadlines, and exhibit sound judgment.
  • Exceptional communication skills.
  • Excellent interpersonal skills and a strong customer-service orientation.
  • Ability to take initiative, work with minimal supervision, and collaborate effectively as part of a team.
  • Demonstrated ability to coordinate tasks, delegate responsibilities, and ensure team productivity.
