Job Summary

The University Health Network is seeking an experienced Administrative Assistant II to provide high-level administrative support to a busy medical office. As a key member of the team, you will be responsible for coordinating and managing the day-to-day activities of the office, ensuring seamless communication and exceptional patient care.

Key Responsibilities

  • Provide administrative support to a team of medical professionals, including scheduling appointments, managing calendars, and coordinating travel arrangements.
  • Manage and maintain accurate and up-to-date records, including patient files, medical records, and administrative documents.
  • Coordinate and facilitate meetings, events, and conferences, ensuring all logistical arrangements are in place.
  • Develop and implement effective administrative systems and processes to improve efficiency and productivity.
  • Provide exceptional customer service, responding to patient inquiries, and resolving issues in a timely and professional manner.
  • Collaborate with other departments and teams to ensure seamless communication and coordination.
  • Perform other administrative tasks as required, including data entry, filing, and mail management.

Requirements

  • Completion of a recognized post-secondary office/medical administration program at the certificate level or equivalent.
  • Two (2) years of related administrative support experience, preferably in a medical office setting.
  • Excellent organizational and time management skills, with the ability to prioritize tasks and manage multiple projects simultaneously.
  • Excellent communication and interpersonal skills, with the ability to work effectively with patients, medical professionals, and other stakeholders.
  • Proficiency in Microsoft Office, including Word, Excel, and Outlook.
  • Experience working with electronic medical records (EMRs) and other administrative software.
