Position Overview

We are currently seeking a dedicated and proactive Senior Administrative Coordinator to provide comprehensive organizational and operational assistance to our executives.

Role Responsibilities

As a Senior Administrative Coordinator, you will play a crucial role in ensuring the seamless operation of our executive functions. Your responsibilities will encompass a variety of tasks, including:

Key Contributions:

  • Manage and oversee the scheduling and calendar coordination for multiple executives, including resolving scheduling conflicts with innovative solutions.
  • Organize travel logistics for executives, including managing changes and rescheduling meetings with both internal and external stakeholders.
  • Process and track expense reports for the executive team, ensuring timely and accurate submissions.
  • Facilitate the planning and execution of in-office and virtual meetings, town halls, and offsite events, which may involve booking venues, developing agendas, setting up technology, and coordinating catering services.
  • Uphold confidentiality by managing access to executive communications and prioritizing administrative tasks on their behalf.
  • Ensure accuracy and attention to detail in completing various administrative tasks, including reports, invoices, and other documentation.
  • Regularly update the team on project progress and relevant information regarding daily operations.
  • Provide temporary coverage for colleagues, assisting additional executives as needed.

Professional Development:

  • Mentor and train new administrative staff, serving as a Subject Matter Expert for routine tasks.
  • Collaborate autonomously with executives and work alongside other leaders to complete specialized projects.

Cultivating a Supportive Environment:

  • Deliver exceptional service while maintaining professionalism in all interactions.
  • Actively participate as a team member, contributing to a positive workplace culture.

Qualifications

Essential Skills and Experience:

  • A high school diploma accompanied by over five years of relevant administrative experience.
  • Proficient in Microsoft Office Suite and various internet applications.
  • Ability to work independently and collaboratively, demonstrating flexibility in coordinating processes across teams.
  • Strong organizational skills to manage multiple priorities and meet deadlines.
  • Excellent communication skills, with a focus on active listening and effective interaction.
  • Capable of interpreting company policies and applying them in a dynamic environment.
  • Strong judgment and discretion when handling confidential information.
