We are seeking a proactive and skilled administrative coordinator to support our senior executives and contribute to the overall efficiency of our operations.

Key Responsibilities

As a Senior Administrative Coordinator, your responsibilities will encompass a variety of tasks that are essential to the smooth running of our executive functions:

Key Contributions:

  • Manage and oversee the scheduling of appointments for multiple executives, ensuring effective calendar management and resolving scheduling conflicts with innovative solutions.
  • Organize travel arrangements for executives, including managing changes and rescheduling meetings with various stakeholders.
  • Handle expense reports for teams, ensuring timely and accurate processing.
  • Assist in the planning and coordination of meetings, events, and town halls, which may involve venue booking, agenda preparation, technical setup, and catering arrangements.
  • Uphold confidentiality by managing access to executive communications and prioritizing administrative tasks on their behalf.
  • Execute various administrative duties with precision, including preparing reports, invoices, and other essential documents.
  • Keep the team informed about project progress and relevant updates regarding daily operations.
  • Provide coverage for colleagues during absences, ensuring continuity of support for additional executives.

Professional Development:

  • Mentor and train new administrative staff, serving as a Subject Matter Expert for routine tasks.
  • Work independently while collaborating with other leaders to complete specialized projects.

Qualifications

What You Bring:

  • A high school diploma with a minimum of five years of relevant experience.
  • Proficiency in Microsoft Office Suite and internet applications.
  • Ability to work autonomously and collaboratively, adapting to various team dynamics.
  • Strong organizational skills to balance multiple responsibilities while supporting executive needs.
  • Excellent communication skills, with a focus on active listening and effective interaction.
  • Sound judgment and discretion when handling confidential information.
