Position Overview

The Commercial Booking Manager plays a pivotal role in enhancing the programming at the Dr. Phillips Center by managing budgets, securing bookings, and overseeing a diverse array of live performances. This includes genres such as music, comedy, theater, family shows, dance, spoken-word, fine arts, and external rentals within a multi-venue, not-for-profit framework. The Manager collaborates closely with the Commercial Programming team to maintain an organized calendar of events, ensuring the quality and diversity of programming aligns with the vision of Arts for Every Life, while striving to meet annual attendance and revenue objectives.

Key Responsibilities

  • Identify and explore opportunities for future events while nurturing relationships with local, national, and international promoters, artists, and agents.
  • Oversee the efficient intake process for commercial rentals, evaluating and recommending presentations and artists for leadership review.
  • Develop commercial budgets, proposals, and rental estimates in accordance with established guidelines.
  • Manage commercial show rentals, including inquiries, venue tours, rental estimates, and client communications.
  • Collaborate with both internal and external teams to ensure the successful planning and execution of all events, maintaining effective communication with the Production team.
  • Assist in the administration of commercial performance contracts in conjunction with the Contract and Finance Manager.
  • Attend events and fulfill show responsibilities as necessary.
  • Oversee the settlement of commercial performances, ensuring all financial documentation is accurate and compliant with financial guidelines.
  • Thrive in a dynamic environment that demands tact, discipline, and a balanced perspective.
  • Implement best practices for systems and workflow processes.
  • Adhere to all operational policies and procedures, embodying the core values of the arts center.
  • Maintain professional relationships with colleagues and partners across departments.
  • Exhibit composure under pressure, demonstrating effective communication skills with both internal and external stakeholders.
  • Other duties as assigned.

Qualifications

  • A Bachelor's degree is preferred, along with a minimum of 5 years of booking experience in a multi-use, multi-venue setting, with a strong interest in performing arts and live entertainment.
  • Exceptional verbal, written, and presentation skills, complemented by strong analytical and interpersonal abilities.
  • Proven experience in negotiating artist contracts.
  • Strong financial management skills, including budgeting and event settlements, with the ability to perform complex calculations.
  • Proficiency in Microsoft Office Suite and familiarity with venue management systems; experience with ArtsVision is advantageous.
  • Excellent relationship-building and team collaboration skills, maintaining professionalism in all situations.
  • Experience in a non-profit, mission-driven arts environment is preferred, with the ability to articulate the Center's mission and vision.
  • Strong organizational skills with the ability to prioritize tasks effectively.
  • Ability to exercise discretion and maintain confidentiality.

Work Conditions

  • This role requires flexibility to work a variable schedule, including evenings, weekends, and holidays as needed.
