Event Coordination Specialist

Position Overview
Embark on a rewarding journey as the Event Coordination Specialist. Each event you orchestrate will leave a significant mark, enhancing the university's reputation and supporting its ongoing achievements.In your role as the Event Coordination Specialist, you will be tasked with planning a diverse array of outstanding events during the celebration of our milestone anniversary and beyond. Your main goal is to engage the university with essential stakeholders and the communities we serve while establishing valuable connections. By designing thoughtfully curated events, you will facilitate meaningful interactions among various key participants, including university leadership, faculty and staff, current and former students, alumni, donors, elected officials, business and community leaders, media representatives, and other community stakeholders. Furthermore, you will be responsible for conceptualizing and managing large-scale events, particularly the Signature Events. These gatherings will not only strengthen relationships but also advance the institution's strategic objectives and enhance its standing as a premier post-secondary institution.
Key Responsibilities: Communication Management: Develop and coordinate all communication initiatives, including sending invitations to distinguished guests and creating promotional strategies to boost attendance. Ensure timely dissemination of special notices and updates to the intended audience. Assist in preparing speaking notes for key presenters to align their messages with event goals. Stakeholder Engagement: Serve as the primary liaison, cultivating and maintaining positive relationships with key stakeholders. Effectively manage stakeholder expectations throughout the event planning and execution processes. Recognize stakeholder contributions and ensure their needs are met. Financial Management: Develop and oversee event budgets, allocating resources judiciously and monitoring expenditures. Track project budgets, ensuring alignment with allocated resources, and provide regular, accurate financial updates to stakeholders. Contribution to Community Engagement: Collaborate with decision-makers and stakeholders to enhance the university's community engagement initiatives. Facilitation of Collaboration: Act as a conduit between faculty and staff members, promoting effective communication, soliciting input, and coordinating contributions for events. Flexibility and Additional Duties: Embrace adaptability to undertake additional responsibilities aligned with the university's objectives. Demonstrate commitment to the institution's success by responding to evolving needs and priorities.
