Key Responsibilities:
- Direct and manage the Document Control and Quality Records teams to guarantee efficient document flow and precise preparation of History Dockets, adhering to all relevant requirements and timelines.
- Skillfully coordinate various tasks, schedules, and resources, demonstrating outstanding organizational capabilities.
- Effectively prioritize tasks, allocate resources judiciously, and monitor progress to meet established objectives.
- Exemplify and maintain high ethical standards, acting as a role model for the team and ensuring compliance with corporate policies and ethical guidelines.
- Anticipate project requirements proactively, develop comprehensive schedules, collaborate with key stakeholders to allocate resources, and set clear expectations for the team.
- Maintain consistent communication with team members regarding project objectives, timelines, and responsibilities to ensure clarity and alignment.
- Assume full accountability for Document Control & Quality Records operations, ensuring team members are responsible for their assigned tasks and outcomes.
- Conduct detailed reviews of documentation and records to verify accuracy and completeness.
- Address challenges swiftly by identifying issues, analyzing root causes, and collaborating with the team to devise effective solutions, escalating when necessary.
- Evaluate risks associated with Document Control & Quality Records activities, formulate contingency plans, and adapt to changes to keep the team on course for success.
- Cultivate strong relationships with other departments to collaboratively tackle challenges and develop solutions.
- Provide thorough training and mentorship to support team members in their professional development, encouraging skill diversification and excellence in various domains.
- Oversee the annual performance review process, guiding employees in setting and achieving targets while offering continuous mentorship and coaching to enhance their performance.
- Manage timesheets, vacation requests, and staff scheduling efficiently to ensure uninterrupted project coverage, while prioritizing team well-being and productivity.
- Lead employee relations from recruitment through training and development, fostering a positive work environment through effective leadership and guidance.
- Uphold rigorous training and qualification standards for all employees, ensuring they are adequately prepared to perform their responsibilities competently and safely.
Desired Qualifications:
- Post-secondary education in Administration, Business, or a related field.
- Over 7 years of experience in document control or records management within a manufacturing context.
- At least 3 years of experience in a supervisory or leadership role.
- Experience in the nuclear, defense, or aerospace sectors is advantageous.
- Proficient in Microsoft Word, Excel, and Access.
- Familiarity with SAP and Kiteworks is beneficial.
- Experience with electronic document management systems (e.g., Windchill) is a plus.
- An inspiring leader capable of motivating and guiding their team to achieve project and daily objectives.
- Strong communication, motivation, and leadership skills to facilitate optimal problem resolution within a team-oriented environment.
