Job Overview:

Reporting directly to the Guest Services Director, the Operations Administrative Specialist will provide essential support to department leaders and the team in implementing and utilizing administrative and operational tools, processes, and practices. This role is crucial for ensuring the smooth and efficient functioning of daily operations, acting as a vital liaison within the organization.

Key Responsibilities:

· Develop and refine processes and tools for monitoring daily hotel operations to enhance efficiency and effectiveness.

· Collaborate with leadership on all operational procedures.

· Utilize Qpower and other systems to assist the team in improving departmental performance metrics.

· Contribute to the formulation and revision of operational policies and procedures.

· Champion the BLT program and facilitate the delivery of BLT training sessions for new hires and management.

· Monitor software applications for requests such as iCloud account access, TAASTA, and summarize group needs for restaurant and banquet services, while managing supply purchases through the P-Card for operational requirements.

· Ensure timely orders for work cell phones and office supplies, as well as the creation of identification badges.

· Attend operational meetings to document discussions and decisions.

· Support the guest services team by assisting with the administration of daily operations, including:

- Coordinating guest satisfaction survey results and feedback.

- Adding customer insights to GXP.

- Monitoring gift shop inventory to ensure proper item placement.

- Managing scheduling in collaboration with the culinary team.

- Assisting the guest services team with the preparation of Group Summaries.

- Making purchases using the PCARD.

· Oversee gift shop inventory management and assist in item displays.

· Coordinate invoice payments across departments and generate micro-reports for restaurant, café, and room service, including reviewing purchase orders via hotshop.

· Assist the restaurant and banquet teams with recurring purchase orders, including uniforms, linens, and alcohol inventory, while updating menus as needed.

· Support the kitchen team by maintaining requisition sheets, creating usage logs for menu items, updating product pricing from suppliers, and managing food orders as directed by the chef or sous-chef.

· Standardize purchasing processes across all departments to streamline operations.

· Ensure adherence to training on software applications and resources (Micros, Marsha-PMS, Clear Sky, Hot Shoppers, and the BLT program).

· Collaborate with department heads to foster excellent internal customer service and coordination.

· Perform additional administrative duties or special projects as required.

· Experience in the hospitality sector is advantageous.

Education and Experience:

· High school diploma or GED; 2-3 years of experience in hotel operations management or a related field.

OR

· Bachelor’s degree from an accredited institution in Hotel Management, Hospitality, Business Administration, or a related discipline; 1 year of experience in food and beverage, culinary, event management, or a related area.
