Job Overview:

Reporting directly to the Guest Services Director, the Operations Administrative Specialist plays a crucial role in supporting department leaders and the team by implementing and utilizing administrative and operational tools, processes, and practices. This position serves as a key point of contact, facilitating communication and collaboration within the organization.

Key Responsibilities:

· Develop and refine processes and tools to monitor daily hotel operations, ensuring optimal efficiency and effectiveness.

· Collaborate with leadership on all operational procedures to enhance overall performance.

· Utilize Qpower and other systems to assist the team in improving departmental scores.

· Contribute to the creation and revision of operational policies and procedures.

· Champion the BLT program and support the delivery of BLT training sessions for new hires and managers.

· Monitor software applications for requests, including iCloud account access and TAASTA, and compile summaries for group restaurant and banquet needs, managing supply purchases through the P-Card.

· Ensure timely orders for work cell phones and office supplies, and oversee badge creation.

· Attend operational meetings to document discussions and decisions.

· Assist the guest services team with daily operational administration, including:

- Coordinating guest satisfaction survey results and feedback.

- Adding customer insights to GXP.

- Monitoring gift shop inventory to ensure proper item placement.

- Managing scheduling in coordination with the culinary team.

- Supporting the guest services team with printing group summaries.

- Making purchases using the PCARD.

· Oversee gift shop inventory management and assist with item displays.

· Coordinate invoice payments across departments and create micro-reports for restaurant, café, and room service, including reviewing purchase orders via hotshop.

· Support the restaurant and banquet teams with recurring purchase orders, including uniforms and linens, and update menus as needed.

· Aid the kitchen team in maintaining requisition sheets and creating usage logs for menu items, updating product pricing from suppliers, and labeling food storage codes.

· Standardize purchase order processes across all departments to streamline operations.

· Ensure adherence to training on software application tools and resources, including Micros, Marsha-PMS, Clear Sky, Hot Shoppers, and the BLT program.

· Collaborate with department heads to foster the best internal customer service and coordination.

· Perform additional administrative duties or special projects as required.

· Experience in the hospitality sector is advantageous.

Education and Experience:

· High school diploma or GED; 2-3 years of experience in hotel operations management or a related field.

OR

· Bachelor's degree from an accredited institution in Hotel Management, Hospitality, Business Administration, or a related discipline; 1 year of experience in food and beverage, culinary, event management, or a related area.
