Administrative Support Specialist

As an integral part of the Enrolment Services team, the Administrative Support Specialist will provide comprehensive administrative assistance to the Registrar and Associate Registrars.
This role is essential in delivering outstanding client-focused service to various stakeholders, thereby enhancing the operational success of Douglas College.
Key Responsibilities1. Support Student Success in Enrolment Services.
a.
Guide students regarding Enrolment Services policies, deadlines, and procedures related to application and registration.
b.
Identify and resolve issues pertaining to Enrolment Services, directing students to relevant departments as necessary.
c.
Assist students with registration concerns, including holds and prerequisites, implementing overrides as instructed.
d.
Communicate sensitive information to students and manage challenging situations with professionalism.
e.
Direct students to additional resources within Enrolment Services and beyond, ensuring they receive appropriate support.
f.
Notify students about processes related to petitions and other administrative matters in compliance with College policies.
g.
Provide guidance on Veteran Affairs inquiries regarding course registration and funding.
2. Enhance Service Delivery in Enrolment Services.
a.
Review student files for completeness and report any discrepancies to the Registrar or Associate Registrar.
b.
Identify potential challenges in student admissions and suggest improvements to streamline processes.
c.
Assist in creating and distributing informational materials to stakeholders.
d.
Update the College’s online resources as directed by supervisory staff.
e.
Manage office supplies and coordinate logistics for departmental events.
f.
Participate in Graduation coordination as a committee member.
g.
Respond to student inquiries promptly, ensuring adherence to service standards.
3. Manage Course Repeat Requests and Criminal Record Checks.
a.
Process course repeat requests and ensure timely communication with relevant academic departments.
b.
Track submissions and notify appropriate offices of urgent requests.
c.
Submit criminal record check requests and maintain confidentiality of sensitive information.
d.
Act as the liaison with external agencies regarding criminal record checks.
4. Provide Administrative and Logistical Support.
a.
Prepare meeting agendas and minutes for various departmental gatherings.
b.
Coordinate room bookings and catering for events as needed.
c.
Assist in developing and revising Standard Operating Procedures.
d.
Manage office equipment and supplies, ensuring functionality and availability.
5. Document Production and Correspondence.
a.
Create professional communications, including letters and reports, ensuring accuracy and clarity.
b.
Maintain organized records in compliance with College policies.
6. Reception Duties for Enrolment Services.
a.
Handle incoming calls and greet visitors, providing necessary information and referrals.
b.
Assist students and faculty with inquiries and appointment scheduling.
7. Additional Responsibilities.
a.
Support special projects as assigned by supervisory staff.
To excel in this role, candidates should possess:
1. A completed one-year program in Office Administration or a related field, with a minimum of two years of relevant experience.
2. Strong communication skills in English, both oral and written.
3. A solid understanding of College policies and procedures.
4. The ability to adapt in a dynamic environment and handle confidential information professionally.
5. Proficiency in MS Office applications and business office technology.
