Transaction Coordinator Job Description

We are seeking a highly organized and detail-oriented Transaction Coordinator to join our team at Keller Williams Empowered Realty. As a key member of our real estate team, you will play a crucial role in ensuring the smooth execution of transactions from contract to close.

Responsibilities:
  • Assist real estate agents and clients with paperwork and ensure the completion of all escrow documents, including appraisals, titles, and mortgage loans.
  • Verify all paperwork for correct signatures and dates, guaranteeing accurate and efficient closing processes.
  • Manage customer information in our CRM system, forward necessary paperwork to the office broker for file compliance, and track transaction activities.
  • Ensure buyer offers and counteroffers are approved by the seller, facilitating a seamless real estate sales process.
  • Schedule moving times and attend all closing-related meetings.
  • Input trades into the LoneWolf system and send out for signature using DocuSign.
  • Manage all incoming/outgoing commission payments.
  • Follow up on outstanding items from realtors and/or co-operating brokerage.
  • Train realtors on how to upload their documents to the brokerage for processing.
  • Complete bank deposits and issue deposit receipts.
  • Maintain a well-organized filing system.
Requirements:
  • Motivated to provide exceptional customer service and a high level of professionalism.
  • Obtained real estate license or currently pursuing.
  • High school diploma required; Associate's degree preferred.
  • Background or knowledge of the real estate industry, transaction coordination, titles, and mortgages preferred.
  • Excellent organizational skills and communication skills.
  • Great attention to detail.
