Job Summary

We are seeking a highly skilled and organized Medical Office Secretary to join our team at Canadian Shield Health Care Services. As a Medical Office Secretary, you will provide administrative support to our Executive Team, ensuring the efficient operation of our office.

Key Responsibilities
  • Manage patient appointments, registrations, and scheduling
  • Manage phones for a clinical setting
  • Maintain accurate patient records
  • Ensure patient flow and efficient office operations
  • Use an electronic medical system
  • Scan, fax, and file patient documents
  • Check EMR messages and reconcile daily
  • Ensure documentation of all interactions in patient charts
  • Aid with processing and recording invoices for the clinic
  • Maintain office and clinic cleanliness
  • Ensure safe operation of the clinic and equipment
  • Maintain professionalism and confidentiality
  • Perform other office and clerical duties as assigned
Requirements
  • Minimum completion of a relevant health-related community college program
  • Proven experience in executive-level administrative roles
  • Strong computer skills, including proficiency in Microsoft Suites
  • Demonstrated ability to handle confidential information with discretion
  • Excellent interpersonal and communication skills
  • High level of attention to detail
  • Exceptional organization, time management, and prioritizing skills
  • Ability to work well under pressure and handle difficult situations
  • Ability to adhere to company confidentiality policies and Core Values
