We are currently in search of a proficient and driven Real Estate Administrative Coordinator to enhance our operations on a full-time contract basis.

Job Overview:

We are seeking a seasoned Real Estate Administrative Coordinator to assist in our property management functions. The ideal candidate will possess at least 2 years of experience with MLS data management and familiarity with the Toronto Real Estate Board. You will be integral in facilitating the seamless execution of our real estate dealings and property management processes.

Key Duties:

  1. Support the daily functions of property management, including liaising with tenants, property owners, and service providers.
  2. Manage and upload MLS data, ensuring precision and adherence to Toronto Real Estate Board regulations.
  3. Prepare and organize real estate documentation, contracts, and agreements.
  4. Coordinate property listings and arrange showings.
  5. Maintain and update property management databases and records.
  6. Conduct market research and analysis to inform property management strategies.
  7. Provide administrative assistance to the property management team, including scheduling, correspondence, and file/key management.
  8. Address inquiries from property owners, tenants, vendors, and real estate agents in a professional and timely manner.
  9. Manage all key-related responsibilities, including preparing keys for move-ins and onboarding new tenants.
  10. Perform additional tasks as required to support the efficient functioning of the property management department.

Required Qualifications:

  1. Minimum of 2 years of experience with MLS data management and the Toronto Real Estate Board.
  2. Strong understanding of real estate principles, practices, and property management.
  3. Excellent organizational and time management abilities.
  4. Proficient in Microsoft Office Suite (Word and Excel).
  5. Strong attention to detail and accuracy.
  6. Exceptional communication and interpersonal skills.
  7. Ability to work independently as well as collaboratively.
  8. High level of professionalism and discretion.
