Job Title: Office Administrative Assistant

M.A.S IMMIGRATION CONSULTANT LTD. is seeking a highly organized and detail-oriented Office Administrative Assistant to join our team. As an Office Administrative Assistant, you will be responsible for providing administrative support to our HR department, ensuring that all tasks are completed efficiently and effectively.

Key Responsibilities:
  • Coordinate HR Activities: Coordinate the activities of the HR department to ensure they meet the organization's goals.
  • Direct Daily Operations: Direct and control daily operations, ensuring that all tasks are completed on time and to a high standard.
  • Supervise Staff: Direct and supervise other workers, providing guidance and support as needed.
  • Evaluate Daily Operations: Evaluate daily operations, identifying areas for improvement and implementing changes as necessary.
  • Plan and Control Budget: Plan and control budget and expenditures, ensuring that all financial resources are used effectively.
  • Establish Policies: Establish and implement policies and procedures, ensuring that all staff are aware of their responsibilities and expectations.
  • Train Staff: Train other workers, providing them with the skills and knowledge they need to perform their jobs effectively.
  • Schedule Appointments: Schedule and confirm appointments, ensuring that all meetings and events are well-organized and run smoothly.
  • Answer Enquiries: Answer telephone and electronic enquiries, providing information and support to clients and staff.
  • Compile Data: Compile data, statistics, and other information, ensuring that all reports are accurate and up-to-date.
  • Oversee Reports: Oversee the preparation of reports, ensuring that all information is presented in a clear and concise manner.
  • Order Supplies: Order office supplies and maintain inventory, ensuring that all staff have the resources they need to perform their jobs effectively.
  • Negotiate Agreements: Negotiate collective agreements on behalf of employers or workers, ensuring that all parties are aware of their rights and responsibilities.
  • Organize Staff Consultation: Organize staff consultation and grievance procedures, ensuring that all staff are aware of their rights and responsibilities.
  • Oversee Payroll: Oversee payroll administration, ensuring that all staff are paid accurately and on time.
  • Arrange Travel: Arrange travel, related itineraries, and make reservations, ensuring that all staff are able to travel safely and efficiently.
  • Conduct Research: Conduct research, providing information and support to staff and clients.
  • Perform Data Entry: Perform data entry, ensuring that all information is accurate and up-to-date.
  • Work with Marketing: Work with the marketing department to understand and communicate marketing messages to the field.
  • Maintain Database: Maintain and manage digital database, ensuring that all information is accurate and up-to-date.
  • Perform Bookkeeping: Perform basic bookkeeping tasks, ensuring that all financial resources are used effectively.
  • Conduct Performance Reviews: Conduct performance reviews, ensuring that all staff are aware of their strengths and areas for improvement.
  • Evaluate Work Environments: Evaluate work environments, programs, and procedures to control, eliminate, and prevent disease or injury.
