About the Role

We are seeking a highly motivated and detail-oriented Client Service Administrator to join our team at CIBC. As a key member of our client service team, you will be responsible for providing exceptional support to our clients and helping them achieve their financial goals.

Key Responsibilities
  • Client Mobilization - Distribute client anniversary notices and policy review notifications to the appropriate specialist in a timely manner. Follow up with the specialist to ensure that service and reviews are provided in a timely manner to the client when the anniversary notice and policy review notifications are generated. Transmit all client service requests from clients or specialists to the insurance company in accordance with established service standards. Respond to client inquiries or direct them to the appropriate team member - you must hold an insurance license to discuss any insurance-related elements with clients.
  • Administration - Support the administration of the Specialist in Planning Succession (SPS) in accordance with CIBC Wood Gundy Financial Services policies and procedures. Review all life insurance applications, modification forms, and other documents to ensure their completeness and accuracy. Transmit initial life insurance applications and related documents to the insurance company in accordance with established service standards. Order required medical exams through a paramedical services company, as well as any other approval requirements requested by the approver. Follow up on pending files, from approval to settlement. In SmartOffice, review weekly reports on pending files and approval requirements and inform the specialist in planning succession of updates on pending files, within established deadlines. Maintain accurate and up-to-date client files. Ensure the destruction of client files in accordance with the retention schedule.
  • Relationship Building - Prepare insurance illustrations using software provided by each life insurance company. Obtain special or in-force illustrations from insurers, as requested by the specialist in planning succession. Plan and organize seminars, luncheon conferences, workshops, and product launches for clients. Maintain the specialist in planning succession's calendar. Perform various administrative tasks as needed by the specialist in planning succession (e.g., arrange travel and hotel reservations, prepare and submit expense reports to headquarters, prepare mailings and coordinate marketing initiatives). Maintain the specialist in planning succession's pipeline report daily in SmartOffice.
Requirements
  • You love to learn. Post-secondary education in a relevant field is desirable.
  • You can demonstrate your experience in the industry. Experience in the financial services and/or insurance sector and knowledge of this sector are mandatory. Experience working in a sales-oriented or customer service environment is required. Previous experience in the insurance sector is highly desirable.
  • You are comfortable with technology. Strong practical knowledge of Microsoft Office, including Word, PowerPoint, and Excel.
  • You act like an owner. You thrive when you can take initiative, exceed expectations, and produce results.
  • You prioritize objectives. High self-confidence, autonomous judgment, and good problem-solving skills are required to work in a minimally supervised environment.
  • You love to learn. Acquiring knowledge is your passion. You are very curious.
