About the Role

We are seeking a highly organized and detail-oriented Medical Office Coordinator to join our team at Niagara Regional Medical Clinic. As a key member of our administrative staff, you will play a vital role in ensuring the smooth operation of our clinic.

Key Responsibilities
  • Coordinate Patient Flow: Manage the flow of patients through the clinic, ensuring timely and efficient service.
  • Interview Patients: Conduct thorough interviews with patients to obtain accurate case histories.
  • Manage Correspondence: Open, sort, and distribute incoming mail and other materials, as well as prepare and send outgoing correspondence.
  • Schedule Appointments: Coordinate and confirm patient appointments, ensuring accurate scheduling and minimal wait times.
  • Train Staff: Provide training to staff members on procedures and software usage, ensuring seamless integration into our team.
  • Complete Claims: Prepare and submit insurance and other claim forms in a timely and accurate manner.
  • Maintain Filing System: Ensure accurate and up-to-date filing of patient records and other important documents.
  • Order Supplies: Manage inventory and order supplies as needed, ensuring minimal disruptions to our operations.
  • Arrange Travel: Coordinate travel arrangements for staff and patients, as required.
  • Establish Office Procedures: Develop and implement efficient office procedures and routines, ensuring optimal productivity.
  • Prepare Reports: Enter and format medical reports and correspondence, as well as prepare spreadsheets and documents for review.
  • Initiate Confidential Files: Establish and maintain confidential medical files and records, ensuring patient confidentiality.
  • Prepare Meeting Materials: Prepare draft agendas and take minutes for meetings, as required.
  • Perform Data Entry: Accurately enter data into our systems, ensuring up-to-date records.
  • Provide Customer Service: Deliver exceptional customer service to patients and staff, ensuring a positive experience.
Requirements
  • Education: College, CEGEP, or equivalent non-university certificate or diploma from a program of 1-2 years.
  • Experience: 1-7 months of experience in a medical office setting.
  • Computer Skills: Proficient in MS Word, MS Excel, MS Outlook, and other relevant software.
  • Transportation: Public transportation is available.
  • Work Environment: Fast-paced environment with a focus on attention to detail and ability to work under pressure.
