Job Title: Strategic Portfolio Manager

Job Summary:

PBC Solutions is seeking a highly skilled Strategic Portfolio Manager to join our team. As a key member of our organization, you will be responsible for overseeing the portfolio of strategic projects and programs, ensuring alignment with organizational goals, and optimizing resource utilization.

Key Responsibilities:

  • Oversee the intake process for new Statements of Work (SOW), Work Requests, and Work Orders, evaluating each new request in relation to available resources, budget considerations, and other pertinent factors.
  • Initiate the SOW Review Council process once the SOW has been evaluated and assessed in relation to resource allocation, budget considerations, and other pertinent information.
  • Coordinate and manage the Work Request Process, ensuring that all Work Requests are reviewed and implemented.
  • Develop and manage the portfolio management framework, including processes, tools, and templates.
  • Oversee the selection, prioritization, and balancing of projects and programs within the portfolio.
  • Ensure alignment of the portfolio with organizational strategy and objectives in collaboration with the Senior Manager, Project Management and when appropriate Director, Strategy & Innovation.

Performance Monitoring and Reporting:

  • Provide regular reporting and analysis on the cost, benefits, and progress of Transformation Projects.
  • Attend governance meetings as required to report on performance measures such as KPIs and other relevant performance indicators.
  • Ensure that all relevant documentation, including business cases, scoring, and prioritization records, financial reports, and change requests, are maintained and easily accessible for audit purposes.
  • Monitor and report on portfolio performance, including key metrics and KPIs.
  • Provide insights and analysis on portfolio performance to senior management and stakeholders.
  • Develop and maintain portfolio dashboards and reports to track progress and performance.

Resource and Capability Management:

  • Oversee the distribution and efficient use of resources throughout the portfolio to ensure optimal utilization across Core Services, Transformation Services, and Transformation Projects, appropriate skill set assignment to projects, and negotiate resource allocation with functional managers as necessary.
  • Develop and maintain a resource management plan to address current and future needs.

Risk and Issue Management:

  • Develop and maintain the Project Management RAID log across the portfolio to identify, assess, and manage portfolio-level risks and issues.
  • Ensure that risk management analysis process is being followed, including tracking risks associated with Transformation Projects.
  • Implement risk mitigation strategies and ensure timely resolution of issues.
  • Provide regular updates to senior leadership on risk and issue status.

Stakeholder Engagement:

  • Build and maintain strong relationships with key stakeholders, including executives, project sponsors, and business units.
  • Communicate portfolio status, risks, and issues to stakeholders in a clear and concise manner.
  • Facilitate portfolio review meetings and ensure alignment with strategic priorities.

Innovation Management & Continuous Improvement:

  • Drive continuous improvement initiatives within the portfolio management process.
  • Implement lessons learned from completed projects to enhance future portfolio delivery.
  • Foster a culture of innovation and excellence.

Financial Management:

  • Manage and oversee the budgeting process for projects within the Transformation portfolio, ensuring optimal allocation of resources while adhering to financial guidelines and constraints.
  • Oversee the portfolio budget and project estimations, ensuring effective financial management, profitability management, and cost control.
  • Monitor project and program budgets, ensuring alignment with financial targets.
  • Review individual project budgets to confirm that the budgets are balanced, and forecasting efforts are being completed.
  • Provide financial reporting and analysis to support decision-making.

Qualifications:

  • Bachelor's degree in business administration, Project Management, or a related field; master's degree preferred.
  • PMP, PfMP, or similar project management certification required.
  • Minimum of 5 years of experience in project management, with at least 3 years in a portfolio management role.
  • Proven track record of successfully managing large and complex portfolios.
  • Strong understanding of portfolio management methodologies, tools, and techniques.
  • Excellent leadership, communication, and interpersonal skills.
  • Ability to work collaboratively with cross-functional teams and stakeholders.
