Recreation Facility Clerk

About the Role

We are seeking a highly skilled and customer-focused Recreation Facility Clerk to join our Parks, Recreation and Culture division. As a key member of our team, you will play a vital role in providing exceptional customer service, leading and motivating a dynamic Registration Call Centre team, and ensuring service excellence in our recreational facilities.

Key Responsibilities

  • Provide customer service excellence to internal and external customers, responding to inquiries and resolving issues in a timely and professional manner.
  • Provide accurate information, advice, and referrals pertaining to parks, recreation, sport, arts, culture, and heritage program opportunities, ensuring that customers have a positive experience.
  • Participate in planning, organizing, delivering, promoting, and evaluating activities and services within a recreational facility and/or Registration Call Centre, ensuring that programs meet the needs of our diverse community.
  • Plan, schedule, assign, mentor, and provide direction and guidance to staff, ensuring that they have the necessary skills and knowledge to provide exceptional customer service.
  • Lead and/or support the functional aspects of the Recreation and Facility Booking System, including testing, training, and resolving issues.
  • Lead and/or support recruitment and training of auxiliary attendants, ensuring that they are equipped to provide excellent customer service.
  • Work with and support a supervisor with administrative details, organizing and prioritizing office work to ensure that tasks are completed efficiently and effectively.
  • Perform a variety of clerical, typing/word processing, time-keeping, receptionist, and cashiering activities, ensuring that all tasks are completed accurately and on time.

Requirements

  • Completion of Grade 12 or equivalent supplemented by computer and keyboarding skills or an equivalent combination of training and experience may be considered.
  • Ability to work in an office environment, interacting with a variety of customers and/or challenging situations.
  • Ability to provide effective customer service, using appropriate tact to discuss problems in an effective manner.
  • Ability to perform cashiering duties accurately, handling cash, cheques, and credit card transactions.
  • Ability to provide direction and guidance to others, assigning tasks and allocating work to ensure that goals are met.
  • Ability to prioritize competing demands, work well under pressure, and deal with stressful situations with professionalism.
  • Ability to understand and carry out oral and written instructions, composing various types of standard and non-standard correspondence and reports.
  • Ability to provide guidance and resolution to the Registration Call Centre staff at facilities on point of sale, facility booking, online registration, and programming concerns.
  • Ability to configure the Recreation and Facility Booking Software to meet the needs of the organization.
  • Ability to work both independently and interdependently, exercising sound judgment and initiative.
  • Ability to establish and maintain effective relationships with a variety of groups, businesses, and association members.
  • Knowledge of clerical and record-keeping procedures, modern office practices, and procedures.
  • Knowledge of business English, spelling, punctuation, and math, as well as the ability to use City computer applications such as PeopleSoft (HCM), Xplor, Outlook, and Microsoft programs.
  • Ability to successfully pass a Police Information Check.
