Position Overview: As an Administrative Support Specialist - Customer Service, you will play a vital role in facilitating administrative functions to assist management, contractors, and visitors efficiently and effectively. Your strong multitasking abilities will enable you to perform a variety of support duties, including responding to phone inquiries, maintaining system databases, managing data with our Document Control system, and executing other administrative tasks as needed. You will ensure adherence to document preparation and processing protocols, coordinate and schedule upcoming assignments, and align work priorities in collaboration with the VP Operations. With your exceptional communication skills, you will engage with internal stakeholders and customers to provide reception services (including answering phone calls) and administrative assistance to key personnel such as managers, contractors, and visitors. You will also assist with timesheet entries, verify the accuracy of timekeeping records, and ensure that all hours worked are correctly entered into the system database. Compliance with administrative tasks in accordance with company standards is essential.

Key Technical Criteria:

Minimum of 3 years of administrative experience required Business or office administration certification is preferred Experience with ERP systems is advantageous Proficient in Microsoft Office applications, particularly Word and Excel Strong customer service, interpersonal, and problem-solving abilities Professional demeanor in phone and email communications
