Overview of the Position

Essity Health and Medical is in search of a skilled Client Support Specialist. This role is essential for delivering prompt and effective administrative assistance to clients, sales personnel, and departmental units while adhering to established protocols and standards.

Key Responsibilities

  • Engage with clients through various communication channels (telephone, email, etc.)
  • Process orders and invoices to ensure timely dispatch, accurate billing, and payment in accordance with defined procedures.
  • Confirm order accuracy and reach out to clients as necessary to fulfill their requirements.
  • Exercise discretion in managing order issues and propose solutions to proactively address client needs.
  • Administer the company's warranty and replacement policies.
  • Provide quotes for contract pricing, discounts, and standard prices.
  • Notify clients regarding back orders.
  • Address and resolve client complaints or discrepancies.
  • Maintain an organized workspace and ensure all reference materials are current.
  • Respond to internal and client inquiries regarding product availability, pricing, delivery timelines, and order statuses to ensure prompt and accurate responses.
  • Collaborate with colleagues from various departments, such as production and distribution, to verify order statuses and resolve client issues.
  • Perform standard calculations to compile and report relevant statistics.
  • Input data into SAP or CRM systems to keep customer records updated and track order statuses, deliveries, and activities.
  • Draft sales-related documents, proposals, reports, and correspondence as necessary.

Qualifications

  • Preferred college degree
  • At least 3 years of experience in a customer service capacity
  • Proficiency in both English and French is required
  • Strong teamwork skills
  • Proficient in PC applications (MS Office, MS TEAMS), Excel, email, SAP, and CRM systems
  • Familiarity with office equipment such as fax machines and scanners
  • Exceptional verbal and written communication abilities
