Office Support Specialist III

Opportunity Overview:
This role is essential for supporting the operations at a community health facility and is not available for remote work. Reporting directly to the Area Coordinator/Manager, the position plays a vital role in facilitating community health initiatives (including Public Health, Home Care, Allied Health, and Children's Rehabilitation Services) by: managing client documentation, overseeing database management and filing systems; executing procurement tasks and maintaining inventory records, tracking systems, and supplying information to management as needed; providing comprehensive reception and registration services to clients as a backup while also assisting management, staff, and the public; processing payments and handling accounting responsibilities; reaching out to clients, scheduling appointments, and addressing inquiries; effectively communicating, exchanging, seeking, and reporting information; delivering administrative assistance to the office; and serving as a resource for management and staff. This role demands a strong proficiency in computer skills and a solid understanding of policies and procedures relevant to community-based programs and support services.
Role Description:
As a Senior Administrative Coordinator, you will utilize advanced administrative or specialized expertise to assist with intricate procedures, practices, and initiatives within a department or program.
Essential Qualifications:Completion of Grade 12 or equivalent educational background.
Additional Required Qualifications:Candidates must possess: A post-secondary Administrative Certificate or a combination of education and relevant experience deemed suitable by the employer. Proven accuracy and proficiency in intermediate computer and typing skills; a minimum typing speed of 40 words per minute is required. A proficiency test will be conducted. Demonstrated experience with Word, Excel, Outlook Calendar bookings, and other applications within the Windows Office Suite is necessary. A proficiency test will be administered. A minimum of two years of practical office experience. The ability to collaborate effectively with managers and staff across various departments. Examples of outstanding customer service in a dynamic, multi-tasking environment serving staff, management, clients, and the public with both internal and external services. Demonstrated adaptability to new situations, changes, and data systems that may be implemented. The ability to exercise judgment, professionalism, diplomacy, and discretion while maintaining confidentiality at all times. Capacity to manage stress effectively and demonstrate strong problem-solving skills while prioritizing tasks to work efficiently and in an organized manner. Physical capability to push and pull wheeled carts weighing up to and occasionally exceeding 25 kilograms. Ability to walk, sit, or stand for extended periods. Capability to regularly use hands and arms to reach, lift, and carry items weighing up to 25 kilograms. Ability to navigate stairs and/or use a step stool. Willingness to consistently wear a medical mask.
Preferred Qualifications:Familiarity with Netcare, Connect Care, CPSM, and Grand and Toy supply requisitioning systems, as well as community-based Meditech applications (e.g., CWS). Understanding of community-based health programs.
