Job Description: Senior Document Management Specialist

We are seeking a highly organized and detail-oriented Senior Document Management Specialist to join our team. In this role, you will play a vital part in ensuring the smooth operation of our project delivery processes by managing and controlling all project documentation.

Key Responsibilities:
  • Implement and maintain company-wide document procedures for civil engineering projects, ensuring compliance with industry standards and best practices.
  • Manage a comprehensive range of project documentation, including meeting minutes, technical specifications, drawings, and other essential files.
  • Organize and categorize documents within designated project control systems, maintaining a clear and accessible filing structure.
  • Conduct thorough reviews to ensure document accuracy, completeness, and adherence to established guidelines.
  • Assist in file migration and audits, ensuring data integrity and compliance with regulatory requirements.
  • Provide regular status reports on documentation progress to project stakeholders, keeping them informed of key milestones and deliverables.
Requirements:
  • A degree or diploma in Information Management or a related field.
  • Proven experience as a Document Controller within the civil engineering industry, preferably with a focus on transportation projects.
  • Hands-on experience managing large-scale projects from conception to completion, ensuring seamless documentation throughout all phases.
  • Exceptional organizational and time management skills, with the ability to prioritize tasks effectively in a fast-paced environment.
  • Meticulous attention to detail and a commitment to maintaining the highest standards of accuracy in document handling.
  • Strong self-motivation and the ability to work independently as well as collaboratively within a team setting.
  • Excellent communication and presentation skills, enabling clear and concise information sharing with stakeholders at all levels.
  • Familiarity with construction site practices and experience utilizing Electronic Document Management Systems (EDMS).
