Job Summary:

The Meeting Coordinator, Hospitality Services will be responsible for planning and executing events in the Scotiabank Centre and other managed facilities. This role requires strong relationships with clients, attention to detail, and the ability to work in a fast-paced environment.

Key Responsibilities:

  • Contribute to customer satisfaction by ensuring events are delivered on time, on budget, and to the highest level of service.
  • Provide strategic guidance on event planning to ensure client objectives are met.
  • Consult with clients on audio-visual requirements and provide recommendations to achieve event objectives.
  • Recommend food and beverage offerings to suit event needs and budget.
  • Communicate event requirements to operating departments and provide client with cost quotations.
  • Monitor service levels provided by food and beverage providers and correct any deficiencies.
  • Follow up with clients after events to ensure satisfaction and gather feedback.
  • Develop thorough knowledge of bank executive structure to prioritize bookings and maximize facility usage.
  • Manage requests for space to minimize labor required to change rooms.
  • Ensure all guests are greeted appropriately and directed to the correct room.
  • Accommodate feasible guest requests in a polished and professional manner.
  • Identify improvements in services and processes by contributing ideas and soliciting feedback from clients.

Requirements:

  • A degree in Hospitality or Event Management from a credited university or college.
  • 1+ years of related experience in a first-class service organization.
  • Excellent phone and personal etiquette.
  • Excellent verbal and written communication skills.
  • English fluency, French and Spanish verbal and written fluency an asset.
  • Excellent customer service record.
  • Punctual.
  • Able to work with minimal supervision and manage a diverse network of vendors, coworkers, and contractors.
  • Knowledge of MS Office (Word, Excel, Outlook, Access).

Working Conditions:

This role requires a combination of office and event environment with non-standard working hours. The incumbent will be expected to work in a fast-paced environment with high levels of discretion, adherence to security and compliance policies, guidelines, and programs.
