Position Overview

The Office Operations Manager plays a crucial role in ensuring the efficient functioning of our medical clinic. This position requires a blend of leadership, organizational skills, and a keen attention to detail.

Qualifications
  • Education: Completion of a college, CEGEP, or other non-university certificate or diploma program lasting 1 to 2 years, or equivalent experience.
  • Experience: A minimum of 1 year to less than 2 years in a supervisory role.

This role is situated within a fast-paced medical clinic, requiring adaptability and the ability to manage multiple tasks efficiently.

Key Responsibilities
  • Develop and implement specific plans to prioritize tasks effectively.
  • Organize and delegate tasks to ensure timely completion of work.
  • Train and mentor staff on their duties and organizational policies.
  • Prepare and submit comprehensive reports on operations.
  • Oversee the maintenance and smooth operation of office equipment.
  • Address work-related issues, providing technical guidance and recommending improvements to enhance productivity and quality.
  • Coordinate, assign, and review the work of team members.
  • Manage requisitions for materials, equipment, and supplies.
  • Arrange for necessary maintenance and repair services.
  • Collaborate with other departments to ensure seamless operations.
  • Establish work schedules and procedures for the team.
Supervisory Responsibilities

This position involves supervising a team of 5-10 individuals, including:

  • Administrative clerks
  • General office clerks
  • Telephone operators
  • Typists and word processing operators
Technical Skills

Proficiency in the following software is essential:

  • MS Excel
  • MS Outlook
  • MS Word
  • QuickBooks
