Job Summary

We are seeking an experienced Administrative Assistant to join our team. The successful candidate will provide administrative support to our office personnel, ensuring the smooth operation of our daily activities.

Key Responsibilities

  • Provide administrative support to office personnel, including drafting correspondence, scheduling appointments, and maintaining paper and electronic files.
  • Assist in other processes such as reconciliation, expense report preparation, invoicing, and annual budget development.
  • Answer telephones, take messages, and transfer calls to the appropriate individuals.
  • Set up and maintain paper and electronic filing systems for records, correspondence, and other materials.
  • Open, read, route, and distribute incoming mail and other materials, preparing answers to routine letters.
  • Complete and route forms in accordance with company procedures.
  • Arrange conferences, meetings, and travel reservations for office personnel, coordinating conferences and meetings.
  • Administer department programs, projects, and/or processes.
  • Order and dispense supplies.
  • Support recruiting efforts by posting positions internally and externally.

Requirements

  • Less than 2 years of experience in an administrative role.
  • Proficiency in Microsoft Office, Excel, and PowerPoint.
  • Excellent written and verbal communication skills.
  • Strong organizational and follow-up skills.
  • Ability to utilize office equipment such as fax machines, copiers, and phone systems.
  • Professional demeanor and confidence to work in an advanced corporate setting.
