Position Overview

DLytica Inc. is seeking a dedicated Administrative Assistant to join our team. This role is essential in ensuring the smooth operation of our office and supporting our staff in various administrative tasks.

Qualifications
  • Education: Completion of secondary (high) school graduation certificate is required.
  • Experience: A minimum of 1 year to less than 2 years in a similar role is preferred.
Work Environment

The successful candidate will work in an Information Technology (IT) consulting setting, contributing to a dynamic and collaborative team.

Key Responsibilities
  • Organize and coordinate seminars, conferences, and other events.
  • Facilitate the flow of information within the team.
  • Oversee daily operations and ensure efficient workflow.
  • Manage incoming mail and other communications.
  • Plan and structure daily tasks to enhance productivity.
  • Document and prepare minutes for meetings and events.
  • Schedule and confirm appointments for team members.
  • Develop and implement training and development strategies.
  • Handle telephone inquiries and relay messages effectively.
  • Respond to electronic inquiries in a timely manner.
  • Order and maintain office supplies and inventory.
  • Arrange travel itineraries and make necessary reservations.
  • Welcome visitors and direct them to appropriate contacts.
  • Establish and maintain both manual and digital filing systems.
  • Type and proofread various documents and correspondence.
  • Perform data entry tasks accurately.
  • Provide exceptional customer service to clients and stakeholders.
  • Maintain and manage a digital database for records.
  • Conduct basic bookkeeping tasks as needed.
  • Supervise office staff and volunteers, typically 3-4 individuals.
