Key Responsibilities:
- Manage and prioritize tasks to ensure the team's objectives and deadlines are achieved. Serve as a culture ambassador, ensuring compliance with policies and escalating issues as necessary.
- Build strong business relationships by providing courteous and efficient support to both internal and external stakeholders.
- Promote a high-performance culture and contribute to an inclusive workplace.
- Take on special projects as they arise in support of management, including data collection for meetings, organizing logistics for client events, and tracking important client dates.
- Draft and review communications intended for distribution to executive-level management.
Client Support Functions:
- Calendar Coordination: Manage team schedules and arrange client meetings as needed, including logistics such as room bookings and technical support.
- Travel Coordination: Organize and manage travel arrangements, including international travel, reservations, itineraries, and necessary travel documentation.
- Expense Management: Compile receipts and prepare detailed expense reports for approval, ensuring timely processing and accurate client coding.
- Client Data Maintenance: Assist in maintaining client-related information using tools such as Excel and Salesforce, including updates to client call reports.
- Event Coordination: Plan and organize client events, managing invitations and follow-ups.
- Administrative File Management: Organize and maintain administrative files and correspondence, assisting with pitch book preparation as needed.
- Telephone Management: Handle incoming calls on a multi-line system, facilitating conference calls and videoconferencing.
Administrative Team Support:
- Assist with the onboarding and offboarding processes for employees, coordinating with HR and other departments.
- Serve as the point of contact for visiting staff, managing guest registrations and local support.
- Act as a backup for other Administrative Coordinators during absences, sharing responsibilities to support the team and business.
- Ensure adherence to policies and procedures while coaching team members on compliance.
- Strive for operational efficiency while maintaining effective business controls to meet obligations regarding operational risk and compliance.
Work Arrangement:
This role currently operates in a hybrid model, requiring in-office presence at least three days a week, subject to business needs.
