POSITION SUMMARY

The Administrative Assistant within the Administration sector plays a pivotal role in the Finance and Administration division of the organization. This position is accountable for providing comprehensive administrative support while handling highly confidential and sensitive information that may affect clients, employees, and stakeholders.

KEY RESPONSIBILITIES

The Administrative Assistant is responsible for delivering general administrative assistance to various managers and staff, ensuring the smooth operation of the administrative offices in the region. This role adheres to the established by-laws, policies, and legislative requirements of the Government of Northwest Territories.

ESSENTIAL QUALIFICATIONS

  • Proficient understanding of office and administrative processes, complemented by strong organizational and communication skills.
  • Familiarity with general office tasks and records management, including ARCS and ORCS systems.
  • Strong writing abilities with a keen eye for proofreading documents for clarity, style, and accuracy.
  • Capability to network and collaborate with resources both within and outside the organization to provide support for clients and their families.
  • Proficiency in various software applications, including word processing, spreadsheets, and data management systems, while maintaining confidentiality.
  • Ability to work autonomously and ensure precision in scheduling and rescheduling client appointments.
  • Excellent interpersonal skills to engage with clients in a composed and respectful manner.
  • Capacity to coordinate effectively with managers and a diverse range of health and social services professionals.
  • Cultural sensitivity and respect for diverse traditions, particularly those of northern and Indigenous communities.
  • Competence in accurately tracking financial information and managing related documentation.

EDUCATIONAL BACKGROUND

Typically, candidates would possess a two-year diploma in Business Administration, complemented by three years of relevant administrative or accounting experience.
