OBJECTIVE

The Property Operations Coordinator is responsible for assisting the Property Manager in the administrative management and effective daily operations and upkeep of a significant suburban portfolio that includes office, retail, and industrial properties.

KEY RESPONSIBILITIES

1. Financial Planning and Reporting
Aids in the formulation and oversight of the Annual Operating Budget along with periodic budgeting for recoverable operating expenses and forecasting activities for the assigned properties to ensure optimal resource utilization and achievement of operational goals; Monitors, analyzes, and reports on the monthly and quarterly financial performance and tenant sales metrics to ensure that income and expenditures align with targets and that resources are being utilized efficiently.

2. Property Maintenance and Tenant Services
Manages maintenance initiatives for the assigned properties and site equipment (including fire, life, safety, and emergency systems, HVAC, electrical, security, and surveillance systems, as well as landscaping equipment) and related accounts payable processes to ensure compliance with established company policies and procedures; supervises tenant repair requests and service responses to foster strong tenant relationships and ensure a consistently high level of service delivery.

3. Environmental Stewardship
Ensures compliance with the company's environmental and Health and Safety policies, coordinates investigations of incidents, supervises the implementation of effective energy management strategies, and oversees the operations of security contractors as necessary; Manages service agreements with third-party vendors to guarantee high-quality service delivery for tenants and visitors.

4. Tenant Engagement
Oversees tenant relations, including timely rent collection, ensuring tenants adhere to lease agreements and property regulations, and resolving tenant issues of moderate complexity to maintain positive relationships; Builds trust and fosters constructive relationships with tenants, government entities, businesses, contractors, other business units, customers, investors, and the broader community.

5. Marketing and Revenue Support
Provides assistance to the Marketing and Specialty Leasing teams as needed to enhance revenue through sales and other income-generating opportunities.

6. Project Assistance
Supports various tenant-related special projects, including tenant coordination, performance analysis, submissions (e.g., BOMA Best Designations, LEED Certification), capital initiatives, marketing, and specialty leasing efforts, and any other activities that contribute to the overall performance and development of the portfolio.

Additional job-related duties and projects may be assigned as necessary.

REQUIRED QUALIFICATIONS
Skills, Knowledge, Experience, and Education

Diploma or Bachelor's degree in a relevant field in Property Management from a recognized Post-Secondary Institution or Industry Association is preferred or enrollment in RPA/CPM is an asset; Minimum of 5 years of relevant property management experience; Valid driver's license and personal transportation; Ability to obtain security clearance; Proven ability to multitask and prioritize effectively under pressure with meticulous attention to detail; Strong analytical and decision-making capabilities; Excellent interpersonal skills for collaboration with tenants and customers; Good organizational abilities; Strong team-building competencies; Customer service-oriented mindset; Proficient written and verbal communication skills; Familiarity with property management software (e.g., Yardi and Angus); Proficient in Microsoft Office applications; Solid understanding of accounting principles, budgeting, and forecasting;
