Job Purpose:

The Operations Support Administrator plays a crucial role in providing comprehensive administrative assistance to the Operations and Project Management teams. The ideal candidate will swiftly acquire an understanding of daily operations and organizational activities while ensuring exceptional customer service.

Key Responsibilities

The duties associated with this position encompass, but are not limited to:

  • General administrative tasks (preparing for meetings, organizing documents, planning travel, managing expenses, etc.)
  • Delivering knowledgeable and friendly customer service at the reception area
  • Welcoming and directing visitors at the front desk
  • Managing incoming calls by answering, screening, and forwarding them appropriately
  • Administering and maintaining Accounts Payable and Accounts Receivable
  • Submitting and monitoring vendor invoices
  • Processing tickets and generating and tracking statements/invoices
  • Assisting with the entry of daily volumes, inventories, and transfers
  • Organizing, scanning, and managing incoming/outgoing mail
  • Operating the scale desk and facilitating customer approvals, including: Scale trucks in/out and confirming load types
  • Ensuring accurate data entry into computerized systems with a focus on precision and timeliness.
  • Capturing field paperwork (e.g., field tickets) accurately and promptly
  • Coordinating the flow of field paperwork to ensure necessary approvals are secured and documents are sent to the correct department or individual
  • Performing general clerical tasks such as photocopying, faxing, mailing, and filing
  • Undertaking related tasks and projects as needed

Qualifications/Competencies

The candidate for this role should possess:

  • High School Diploma or GED
  • An Administration or Accounting Certificate/Diploma is considered an asset
  • A minimum of 2 years of experience in administrative or accounting roles
  • Strong time management and organizational skills, with the ability to perform effectively under pressure, meet tight deadlines, and handle multiple tasks
  • Adaptability and the ability to engage within diverse working environments
  • Proven ability to work collaboratively in a team-oriented setting
  • Excellent communication, interpersonal, and customer service skills
