Catering Events Coordinator - AMS of UBC

The Alma Mater Society (AMS) serves the University of British Columbia's (UBC) student community, enhancing the academic, social, and personal experiences of its 56,000 students. AMS operates various food and beverage services, a catering and conference division, and the AMS Student Nest, which provides employment opportunities on campus and reinvests revenue to support UBC students.

Position Title: Catering Events Coordinator

Department: Catering & Conferences

Reports to: Catering & Conferences Operations Manager

Supervises: Catering and Conference Associates and Drivers
Employee Status: Hourly, Full-time

Position Overview

The Catering Events Coordinator is tasked with ensuring the effective execution of AMS Catering & Conferences operations through the meticulous planning, coordination, and delivery of events. This role involves supervising Catering and Conference Associates and Drivers. The ideal candidate is a self-starter with exceptional leadership and organizational abilities, ensuring timely and professional service to both internal and external clients. Strong customer service, time management skills, and the ability to work collaboratively or independently are essential.

Key Responsibilities

  • Deliver outstanding customer service by communicating with clients to confirm orders and provide professional service.
  • Oversee the execution of catering and banquet functions, assisting the management team with larger events.
  • Direct and supervise Catering and Conference Associates and Drivers in the planning and execution of both onsite and offsite events.
  • Support the management team with human resources tasks, including training and scheduling of staff.
  • Collaborate with the AMS sales team to ensure a seamless experience for guests.
  • Prepare for upcoming events by ensuring cleanliness and proper setup of relevant areas, including arranging furniture and equipment according to client specifications.
  • Comply with all AMS policies and procedures, as well as regulatory requirements.
  • Ensure the professional presentation of all food and beverage items during events.
  • Safely prepare, load, and store food and beverage items and equipment in AMS vehicles.
  • Actively promote Catering and Conference services.
  • Be available to work flexible hours, including evenings, weekends, and holidays.
  • Uphold the AMS mission and values to maintain a successful department.
  • Perform other duties as assigned.

Qualifications and Experience

  • Minimum of 2 years in supervisory roles within the food and beverage industry.
  • Ability to lift up to 22 kg (48.5 lbs).
  • Capability to stand for the duration of shifts.
  • Flexibility to work varied hours, including evenings and late nights.
  • Proficient in carrying multiple plates and trays.
  • Valid driver's license with a clean driving record.
  • Food Safe Level 1 certification or higher.
  • Serving It Right certification.
  • Self-motivated with demonstrated excellence in customer service and organizational skills.
  • Strong leadership, problem-solving, and time management abilities.
  • Detail-oriented with the capacity to follow instructions and complete tasks promptly.
  • Proficient in English, with additional language skills considered an asset.
  • Familiarity with MS Office Suite is advantageous.
