Job Summary

We are seeking a highly skilled and experienced Catering Sales and Event Coordinator to join our team at UBC Food Services. As a key member of our catering team, you will be responsible for promoting and selling our catering services, planning and coordinating on-site events, and supervising catering staff.

Key Responsibilities
  1. Meet with potential customers and existing clients to introduce and sell our catering services, with follow-up meetings as required.
  2. Advise customers on menu options, sequence of service, and budget alternatives to ensure a seamless and successful event.
  3. Prepare catering contracts for clients using our proprietary software program.
  4. Order related rental equipment, submit staff requirements for each event, and prepare floor plans, table set-ups, and buffet layouts.
  5. Supervise and coordinate the workload of up to twenty (20) employees, ensuring they meet our high standards of customer service.
  6. Supervise and participate in on-site set-up, service, and tear-down of events.
  7. Train catering staff, following up to ensure they understand the material covered and recommending training requirements to the Manager, Sage.
  8. Ensure the quality of service and product meets our department standards, taking action as needed and making recommendations to improve.
  9. Suggest menu alternatives on an ongoing basis to keep our offerings fresh and exciting.
  10. Participate in day-to-day office administrative duties, including answering phones, record-keeping, filing, performing basic calculations, typing correspondence, and inventory management.
  11. Promote our catering products, services, and specials through brochures, point-of-sale materials, our website, and posters created using desktop publishing programs.
  12. Arrange for feedback from clients on events and follow up on customer complaints and concerns.
  13. Contact employees for coverage of last-minute vacancies or shifts.
  14. Monitor and ensure safety standards are adhered to at all times.
  15. Relieve Sage food service workers and office staff as required.
  16. Perform other related tasks as needed.
Requirements

To be successful in this role, you will need:

  • High school graduation and completion of a Food Service Management course.
  • A minimum of four years of related experience in the food service industry.
  • A FoodSafe level 1 certificate.
  • Excellent communication, organizational, and supervisory skills.
  • Ability to work independently and as part of a team.
  • Ability to type 30 wpm and proficiency in computer software, including Word, Excel, Outlook, and desktop publishing.
  • Serving It Right certification is an asset.
