Legal Support Specialist

Position Overview
The Legal Support Specialist will collaborate closely with the legal team, providing essential clerical assistance to the Agency and staff engaged in child protection matters. This role also includes offering backup support to other Administrative Assistants and Reception as needed. Responsibilities encompass a wide range of tasks related to file management, administrative duties, and communication with external entities, adhering to relevant sections of the Child, Youth and Family Services Act.
Key Responsibilities
- Draft and prepare court documents for submission.
- Facilitate the service of all legal pleadings.
- Maintain a calendar of court dates and adjournments; implement a system to remind staff of upcoming deadlines.
- Compose legal correspondence and notifications.
- Participate in legal meetings as necessary.
- Document all disclosure requests accurately in the designated database.
- Assemble disclosure packages in compliance with Agency policies and relevant legal standards.
- Coordinate with service recipients, legal professionals, and third-party requestors regarding information requests.
- Completion of a diploma or certificate from an accredited institution, or an equivalent combination of education and experience in legal support, human resources, records management, or administrative services.
- Candidates with diverse academic backgrounds and relevant experience will also be considered.
- Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
- Strong and efficient word processing abilities.
- Meticulous attention to detail.
- Proven ability to thrive in a dynamic, fast-paced environment with shifting priorities and deadlines.
- Exceptional communication skills, both written and verbal.
- Ability to engage and collaborate effectively with agency legal service providers, colleagues, and community partners.
- Capability to evaluate workflow and administrative processes, proposing enhancements for improved efficiency.
- Sound judgment and discretion in addressing various issues and problem-solving.
- Ability to work autonomously or as part of a collaborative team.
- Commitment to fostering a culture of diversity, equity, and inclusion.
- Possession of a reliable vehicle and valid driver's license.
- Submission of a satisfactory Criminal Records Check upon employment offer.
