Role Overview
As a Lease Administration Specialist, you will be responsible for lease processing, general lease coordination, administrative tasks, and providing support for special projects within the Leasing department. Your role will involve addressing lease inquiries, liaising with stakeholders, preparing listings and FAQs, showcasing available spaces, collecting and assessing potential tenant information, drafting lease agreements, and ensuring data accuracy with the finance team. You will also maintain databases and assist the Senior Lease Administrator and Leasing Manager with all leasing-related activities.

Key Responsibilities

  • Draft and prepare all lease documentation for review by the Senior Lease Administrator, including offers to lease, lease agreements, renewals, amendments, and sublease documents.
  • Track and monitor the submission of lease and supporting documents for both new and existing tenant files.
  • Respond to all incoming correspondence related to leasing inquiries via various communication channels.
  • Maintain detailed spreadsheets of tenant data, including lease expirations and renewal statuses.
  • Communicate with tenants through drafted letters as necessary.
  • Manage a database of potential leads and current tenants with additional space requirements.
  • Assist with special projects by researching and analyzing industry-related information regarding market rates and tenant offerings.
  • Provide updates to relevant departments about tenant move-ins, move-outs, and programming schedules.
  • Prepare materials for new leasing opportunities, including information gathering and promotional content.

Qualifications

  • Post-secondary education in an administrative, legal administrative assistant program, or a property management licensing program.
  • A minimum of three years of experience in a lease administration or coordinator role within a commercial property management environment.
  • Strong written and verbal communication skills, with the ability to present information effectively and professionally.
  • Excellent organizational skills, capable of completing tasks and projects accurately and independently.
  • Resourceful with strong critical thinking abilities to anticipate challenges and mitigate their impact.
  • Basic understanding of lease agreements and related documentation, including lease drafting.
  • Strong interpersonal skills to communicate effectively with tenants in sensitive situations.
  • Proficient in Microsoft Suite, Adobe products, and property management software.
