Executive Administrative Coordinator for Notary Services

We are looking for a proactive and enthusiastic Executive Administrative Coordinator to assist a dedicated Notary Public recognized for his commitment to excellence. This position involves working across two locations, providing a diverse range of tasks in both front and back office settings.
The Executive Administrative Coordinator will manage contracts and official paperwork, ensuring adherence to legal standards when necessary. Responsibilities include overseeing reception duties, welcoming clients, addressing inquiries, preparing documents, and maintaining organized and current records and files. Additional administrative support will be provided as required.

Key Responsibilities:- Assist callers and visitors with inquiries and direct them appropriately
- Sort, screen, and distribute incoming and outgoing correspondence
- Draft, prepare, or ensure timely responses to various routine written inquiries
- Maintain a professional office environment, ensuring boardrooms and common areas are organized and well-stocked throughout the day
- Manage supplies for printers, copiers, and fax machines, ensuring they are operational
- Oversee inventory of supplies, ensuring adequate stock levels and processing orders as needed
- Coordinate appointments and travel arrangements
- Facilitate meeting requirements
- Update and maintain client records
- File documents in both paper and electronic formats
- Prepare PowerPoint and multimedia presentations
- Support the Principal as needed
- Demonstrated ability to complete detailed tasks accurately and efficiently
- Excellent interpersonal skills and strong written communication
- Enjoyment of a dynamic work environment where all tasks are valued
- A continuous drive to enhance client experiences and internal processes
- Ability to prioritize and manage multiple responsibilities
- Proficient in various computer applications
- Maintain confidentiality while assisting clients and team members

- Strong organizational and time management abilities
- Valid driver's license and reliable transportation
