Position Overview:
We are seeking a detail-oriented and proactive administrative professional with a solid background in providing comprehensive support. You will be instrumental in managing various tasks while maintaining confidentiality and exercising discretion. Your ability to communicate effectively and your keen attention to detail will facilitate seamless operations and provide vital support to our executive teams.
Key Responsibilities:
- Assist 1-2 executives by managing their calendars, meetings, appointments, and travel arrangements.
- Collaborate with an Executive Assistant to coordinate events and onsite activities.
- Prepare and manage monthly expense reports while keeping organized records.
- Oversee all aspects of executive travel, including detailed itineraries.
- Handle inquiries and requests, prioritizing business needs with assistance from an Executive Assistant.
- Support the executive team and work closely with other departments.
- Contribute to the internal resources and best practices community within the organization.
- Administer departmental tools, ensuring that our knowledge management system is current and relevant.
- Assist with special projects and perform other related duties as assigned.
Qualifications:
- 1-3 years of relevant administrative experience, ideally in a SaaS or technology setting.
- Proficient in G-Suite, Zoom, Slack, Asana, Concur, and similar platforms.
- Exceptional organizational and multitasking abilities.
- Strong written and verbal communication skills.
- Ability to handle sensitive information with discretion and confidentiality.
- A collaborative mindset and a self-starter attitude, with a proactive approach to tasks.
- A commitment to continuous learning and professional development.
- Willingness to work in-office multiple days each week.
