Position Overview

Title: Communications Assistant

Department: Communications & Marketing

Reports to: Communications Supervisor

Role Summary:

The Communications Assistant is a Permanent Part-time position (21.5 hours/week) at the Seniors Association Kingston Region. This role is essential for ensuring effective internal operations and enhancing the organization's public presence. The Assistant will leverage their interpersonal skills, office management abilities, and media relations expertise to support various communication initiatives. Responsibilities include coordinating office tasks, managing information flow, and facilitating internal communications. New team members will receive on-the-job training, initially focusing on administrative and clerical responsibilities such as managing correspondence, handling phone inquiries, organizing documents, and distributing information.

Key Responsibilities:

  1. Support the Communications team with ongoing tasks, particularly those associated with the Association's monthly publication, Vista.
  2. Maintain and update the Association's website and social media channels.
  3. Develop promotional materials including videos, brochures, and advertisements across various media platforms.
  4. Engage with volunteers regarding meetings, task updates, and information related to Vista.
  5. Create, organize, and manage both electronic and physical documentation.
  6. Revise and update forms, agendas, and spreadsheets as necessary.

Qualifications:

  1. A high school diploma along with enrollment in or completion of a College or University program in Communications, Marketing, or Advertising, or equivalent experience.
  2. Self-driven with the capability to meet deadlines.
  3. Strong communication and organizational skills.
  4. Meticulous attention to detail.
  5. Proficient in Microsoft Office Suite, particularly Outlook, Word, and Excel.
  6. Familiarity with Adobe Creative Cloud, especially InDesign, Photoshop, and Illustrator.
  7. Innovative and creative mindset.

Skills:

  1. Exceptional time management abilities.
  2. Effective communication skills with both clients and colleagues.
  3. Proficiency in Microsoft Word, Excel, and Outlook.
  4. Experience with Adobe InDesign, Photoshop, and Illustrator.
  5. Knowledge of WordPress.
