Key Responsibilities:

Overseeing various projects assigned by the Vice Presidents, which includes researching, defining project scope, managing workflow, and tracking project outcomes. Organizing the calendars of the assigned Vice Presidents, which involves scheduling internal and external meetings, coordinating logistics, preparing relevant materials, and ensuring proper follow-up. Providing administrative assistance for departmental meetings, including drafting minutes and tracking action items. Coordinating meetings by reserving conference rooms, offering technical support for virtual participants, arranging refreshments, and preparing and distributing meeting materials. Arranging travel logistics for the assigned Vice Presidents and related departments. Composing, editing, and drafting various documents and correspondence for the assigned Vice Presidents. Completing and submitting expense reports on behalf of the assigned Vice Presidents. Collaborating closely with the Executive Assistant to the President/CEO and Board of Directors on calendar management, design and implementation of office policies, and maintenance of office systems and procedures. Providing coverage for other Office Administrators as necessary. Performing additional duties as assigned.

Qualifications:

Post-secondary degree or diploma in Office Administration. A minimum of 3 years of experience as an Executive Assistant to Senior Leadership. Eligibility to work in Canada. A valid class 5 driver's license. A clear Criminal Record Check is required. Ability to support and collaborate with a diverse group of individuals. Proficient in summarizing key information and decisions from meetings. Strong skills in document composition and editing. Ability to handle sensitive and confidential information with discretion. A strong work ethic with the ability to prioritize tasks effectively. Excellent organizational and planning skills with a keen attention to detail. Good listening and written communication abilities. Strong interpersonal skills. High digital literacy, with experience in Microsoft Office Suite, Adobe, and various communication platforms. Flexibility to work a varied schedule as needed.
