Senior Accounts Receivable Specialist

inMusic LLC is seeking a skilled Senior Accounts Receivable Specialist to join our finance team. This position reports directly to the Supply Chain Manager and operates under the guidance of the Chief Financial Officer. The primary responsibility of this role is to accurately enter, maintain, and report on financial and customer transactions within our internal systems.

Key Responsibilities:

  1. Manage the accounts receivable subsidiary ledger effectively.
  2. Process all customer payments for deposit, including credit card transactions.
  3. Engage with customers to address inquiries, verify discrepancies, and resolve billing issues.
  4. Enforce the company's credit policies to minimize overdue invoices.
  5. Approve credit for orders before they are sent to the warehouse for processing and shipment.
  6. Document cash receipts in the designated Excel file.
  7. Assist in reconciling accounts receivable to ensure all payments are accurately recorded and discrepancies are identified.
  8. Generate and distribute invoices electronically or via mail to customers.
  9. Handle credits and invoices within the company’s ERP system (SAGE), as well as Vendor Central and TrueCommerce/Foundry as necessary.
  10. Create the accounts receivable aging report in the specified Excel format and submit it to corporate headquarters monthly; participate in a comprehensive review of customer account statuses.
  11. Conduct weekly backups of the ERP system (SAGE) to safeguard data and send the backup file to external accountants regularly; address any issues raised by external accountants.
  12. Coordinate with external auditors regarding any required matters.

Required Qualifications:

  1. Associate's degree preferred; High School diploma or equivalent required.
  2. Proficiency in Microsoft Office and Excel is essential.
  3. Experience with automated billing and ERP software is preferred.
  4. Full professional proficiency in English and French is required.
  5. A strong team player with integrity, adaptability, and reliability.
  6. Possess strong mathematical, analytical, and independent thinking skills.
  7. Demonstrate methodical organizational skills and a proactive approach to high performance.
  8. Exhibit keen attention to detail, exceptional customer service skills, and the ability to resolve issues efficiently.
