POSITION SUMMARY

The Medical Office Assistant plays a crucial role in supporting the healthcare team at Thompson Rivers University by managing various administrative and clinical tasks to ensure efficient patient care.

DUTIES AND RESPONSIBILITIES
  1. Clinical Administrative Support: Perform essential administrative functions including patient reception, appointment scheduling for healthcare professionals, and processing departmental correspondence to facilitate smooth operations.
  2. Clerical Assistance: Provide clerical support to the Safety Officer and Associate Director of Safety & Emergency Management as needed.
  3. Billing Management: Handle billing processes for various insurance providers including WCB, ICBC, MSP, and private insurers.
  4. Flu Clinic Coordination: Organize flu clinics by scheduling appointments, ordering necessary supplies, and coordinating with community health practitioners.
  5. Record Management: Compile and maintain confidential records, reports, statistics, and charts, ensuring accurate filing and retrieval of patient information.
  6. Medical Documentation Processing: Manage confidential medical documentation for students entering programs with health prerequisites.
  7. Appointment Coordination: Arrange appointments and liaise with health agencies, specialists, and laboratories.
  8. Health Promotion Support: Collaborate with the Health Care Team to provide clerical assistance for programs aimed at enhancing health awareness among the university population.
  9. Clinical Procedure Assistance: Assist the Campus Physician with clinical tasks, including sterilization of medical instruments and preparation of patients for examinations.
  10. Routine Testing: Conduct and document routine tests such as pregnancy, urine analysis, and vital signs, including weight and height measurements.
  11. Financial Reporting: Reconcile weekly cash reports and submit them to the Finance department.
  12. Facility Maintenance: Ensure cleanliness and organization of the First Aid and Examination rooms.
  13. Supply Management: Oversee the ordering and inventory of office and medical supplies.
  14. Student Coordination: Supervise the work of work-study students.
  15. Emergency Response: Locate students in case of emergency situations.
REPORTING STRUCTURE

This position reports to the Associate Director of Safety & Emergency Management.

QUALIFICATIONS

EDUCATION: High school diploma along with a Medical Office Assistant Certificate or equivalent.

EXPERIENCE: A minimum of two years of relevant experience in a physician's office, community medical clinic, or hospital clerical unit.

SKILLS AND ABILITIES
  • Proficient in word processing with a typing speed of 45 wpm.
  • Strong commitment to maintaining confidentiality regarding medical records.
  • Excellent interpersonal skills for interacting with students, staff, and the public.
  • Ability to operate standard office equipment including copiers and fax machines.
  • Practical knowledge of routine patient care procedures.
WORKING CONDITIONS
  • Work in close proximity to patients and healthcare staff.
  • Involves front desk duties and extended periods of computer use.
  • Must be able to lift weights up to 10 kg.

The salary for this position is governed by the Collective Agreement with the Canadian Union of Public Employees, Local 4879.
