Job Summary
We are seeking an experienced Administrative Support Coordinator to join our team in Montreal. As a key member of our administrative team, you will provide critical support to our operations and staff, ensuring the smooth day-to-day functioning of our office.
Key Responsibilities
- Provide administrative support to our team, including typing, mailings, faxing, scanning, and photocopying correspondence and materials.
- Screen and route telephone calls, responding to inquiries from the public, vendors, and clients.
- Assemble and distribute various documents and materials.
- Maintain accurate records and files related to company operations and activities.
- Inventory and manage office and kitchen supplies.
- Ensure the reception and kitchen areas are neat and tidy.
- Operate standard office equipment, including fax machines, scanners, copiers, computers, telephones, and communication equipment.
- Perform data entry and company correspondence.
- Book conference rooms as needed.
Requirements
- High School Diploma
- Previous reception experience is a must
- Customer service experience is a plus
- Knowledge and proficiency in Microsoft Suite of products is a must
- Knowledge of Doc-it and Time Management tools is a plus
- Fluency in English and French is required, as you will be working with English-speaking clients and colleagues
- Strong organizational and time management skills
- Discretion and professionalism
