Position Overview:
As a key member of the team, the Forensic Administration Specialist provides essential clerical support to a multidisciplinary group within the Forensic Psychiatric Services. This role is vital in ensuring smooth operations and effective communication across various functions.

Key Responsibilities:
1. **Clerical Support:**
- Transcribe medical documentation, including physician reports and court correspondence, ensuring adherence to established formats and deadlines.
- Maintain and organize client charts, ensuring all documentation is complete and accurately filed.

2. **Reception Services:**
- Operate a multi-line switchboard, manage inquiries, and direct calls to appropriate personnel.
- Greet clients and visitors, providing essential information about services offered.

3. **Data Management:**
- Enter and maintain client data in various software systems, ensuring accuracy and confidentiality.
- Process referrals and manage client identification numbers, identifying and correcting any discrepancies in records.

4. **Scheduling and Coordination:**
- Maintain electronic calendars, track appointments, and provide reminders to staff regarding important deadlines.
- Arrange meetings, including booking rooms and preparing agendas.

5. **Administrative Duties:**
- Manage office supplies, including inventory and ordering, to ensure operational efficiency.
- Handle incoming and outgoing mail, ensuring timely distribution of materials.

Qualifications:
- Completion of Grade 12 and graduation from an accredited medical transcription program, along with relevant experience.
- Strong verbal and written communication skills.
- Commitment to fostering an inclusive and equitable workplace.

Additional Skills:
- Knowledge of the social, economic, and historical contexts affecting Indigenous communities is highly valued.
- Familiarity with Indigenous Cultural Safety and anti-racism initiatives is considered an asset.
