Capital Projects Coordinator (Full-time – Permanent)

Key Responsibilities

Reporting to the Regional Director of Engineering, your primary responsibilities will include:

  1. Facilitating effective communication with ownership groups and all project stakeholders.
  2. Coordinating on-site refurbishment and infrastructure capital projects.
  3. Assisting department heads with planning, approvals, procurement, and implementation of capital projects.
  4. Maintaining collaborative relationships with various hotel departments to ensure seamless project coordination.
  5. Working closely with the Director of Engineering, owners, and contractors on project execution.
  6. Coordinating with hotel departments and contractors to minimize business disruptions.
  7. Collaborating with the Internal Communications Manager and Marketing team to ensure clear communication to staff and guests.
  8. Supporting the Engineering team in executing hotel capital projects as needed.
  9. Gathering and preparing essential documentation for capital projects.
  10. Managing contractor packages, documentation, reservations, and health & safety protocols.
  11. Processing capital project invoices accurately.
  12. Tracking all expenditures, purchase orders, and capital invoices to ensure proper documentation and budget reconciliation.
  13. Assisting with audits by gathering necessary documents.
  14. Maintaining organized records of meeting notes, spreadsheets, and operational manuals.
  15. Understanding the long-term capital vision for the property and making informed business decisions.
  16. Providing weekly updates on construction activities to hotel departments.
  17. Conducting monthly reconciliations of housing and feeding costs to ensure budget accuracy.
  18. Creating standard operating procedures and manuals as required.
  19. Supporting sustainability initiatives throughout the property.

Qualifications

Required Experience and Skills:

  1. Experience in project management with a clear understanding of timelines and scopes.
  2. Strong knowledge of hotel operations and core functions of various departments.
  3. Familiarity with facilities components and building systems.
  4. Proficient in Microsoft Office applications and quick to learn new software.
  5. Excellent note-taking and digital archiving abilities.
  6. Demonstrated supervisory or leadership experience.
  7. Basic accounting and budget management skills.
  8. Strong interpersonal and problem-solving skills.
  9. Ability to prioritize workload and adapt to changing deadlines.
  10. Capability to build and maintain positive relationships with diverse individuals.
  11. Previous project management experience is advantageous.
  12. A degree in a related field is preferred.
