Administrative Assistant to the Dean

Job Summary:
The Administrative Assistant to the Dean provides high-level administrative support to the Dean's Office, ensuring the smooth operation of the School of Business and Hospitality. This role requires exceptional organizational skills, attention to detail, and the ability to maintain confidentiality.
Key Responsibilities:
- Provide administrative liaison services to the Dean and other administrators, including scheduling meetings, coordinating travel, and managing logistics.
- Initiate, advise, anticipate, and monitor activity related to human resources and financial planning, student issues, and administrative processes.
- Establish and maintain information tracking systems, manual and electronic schedules, and filing systems.
- Manage the coordination and logistical support for meetings, staff professional development, and conferences.
- Serve as the initial point of contact for the School of Business and Hospitality, requiring comprehensive knowledge of School programs, services, policies, and procedures.
- Maintain confidential human resources files and deal with confidential faculty and staff grievance issues, as well as student conduct issues.
Requirements:
- Minimum of a two-year diploma or equivalent in Office Administration - Executive (or related).
- Minimum of five years of relevant administrative assistant experience, with three years at an executive level.
- Minimum of two years of practical experience planning, organizing, and implementing large events such as conferences and awards presentations.
- Demonstrated advanced level skills in the Microsoft Office Suite – Word, Excel, PowerPoint, Access, Outlook, and Visio.
- A working knowledge of typical legacy information systems used in large educational organizations.
Working Conditions:
This is a full-time support position with a salary range of $31.05-$35.99 hourly. The anticipated start date is October 28, 2024. The vacancy is for P02023.
