Position Overview

Trademark Prosecution Administrative Coordinator

Our client, a prominent legal firm, is seeking a dedicated Trademark Prosecution Administrative Coordinator to enhance their dynamic team.

Key Responsibilities
  • Prepare, modify, and manage electronic submissions and the prosecution of Canadian trademark applications along with associated reports.
  • Monitor critical deadlines, issue reminders, and assist in the preparation and submission of client reports and responses.
  • Prepare billing and docketing for approval, demonstrating strong proficiency in accounting and billing practices.
  • Draft routine correspondence, perform administrative tasks, and maintain client contact information within the database.
  • Prioritize incoming assignments, ensure follow-through on tasks, and manage ongoing responsibilities.
  • Implement and uphold practice management systems for busy professionals.
  • Open and close client files as necessary.
  • Perform additional duties as required.
Qualifications
  • Completion of a recognized Legal Assistant or Law Clerk Program.
  • A minimum of 5 years' experience as a Legal Administrative Assistant with substantial expertise in Intellectual Property and Trademarks.
  • Familiarity with Inprotech and CIPO's online systems is advantageous.
  • Exceptional oral and written communication skills, along with strong proofreading capabilities and meticulous attention to detail.
  • Ability to thrive in a deadline-oriented environment and communicate professionally with clients and colleagues.
  • Capacity to work independently as well as collaboratively within a team, requiring minimal supervision.
  • Advanced proficiency in Word, Outlook, PowerPoint, Excel, Aderant, and familiarity with document management systems such as iManage is a plus.
