The Financial Operations Specialist at Paul Davis is responsible for managing all financial transactions related to payables within the organization. This role involves recording, reconciling, and processing all invoices and expenditures.

Key Responsibilities

As a Financial Operations Specialist, you will:
  • Receive, assess, and organize incoming invoices, expenses, and payments.
  • Coordinate weekly cheque runs.
  • Collaborate with subcontractors to address and resolve invoice inquiries.
  • Serve as a liaison between the organization and external clients.
  • Update all invoices in QuickBooks desktop and RMS.
  • Communicate with subcontractors regarding payment statuses.
  • Review subcontractor statements on a monthly basis.
  • Maintain all approved invoices from designated departments.
  • Conduct monthly account reconciliations.
  • Review credit card transactions and secure necessary approvals.
  • Ensure data consistency between QuickBooks desktop and RMS.
  • Assist with bookkeeping tasks including A/P, A/R, GL, Payroll, and Reports.
  • Maintain an organized filing system.
  • Support the preparation of financial reports.
  • Acquire knowledge of various procedures and program requirements to effectively respond to inquiries and explain departmental services.
  • Maintain an updated mailing list.
  • Compile monthly sales reports.
  • Perform additional reasonable duties as assigned.

Required Skills and Qualifications

To excel in this role, candidates should possess:
  • Strong knowledge of office support functions including word processing, filing, and data compilation.
  • Ability to work under pressure with a strong work ethic and initiative.
  • A positive and friendly demeanor.
  • Excellent interpersonal skills.
  • Motivation and creative problem-solving abilities.
  • Strong organizational skills.
  • Bilingualism is considered an asset.

Specialized Knowledge

Preferred qualifications include:
  • Experience with QuickBooks.
  • Familiarity with construction terminology and procedures.
  • Proficiency in QuickBooks Desktop.
  • Experience with RMS.
  • Typing speed of at least 40 words per minute.
  • Bookkeeping knowledge and experience.
  • Proficiency in spreadsheet software and intermediate word processing skills.
  • Experience with database software.
  • Ability to manage multiple tasks effectively.
