About the Opportunity

The Nova Scotia Health Authority is seeking a highly skilled and experienced Administrative Assistant to provide comprehensive support to the Director(s) of the organization. As a key member of the executive team, this individual will be responsible for coordinating the day-to-day operations of the Director's office, establishing administrative procedures and guidelines, and acting as a liaison with executive assistants and administrative assistants within the portfolio and across the health authority.

Key Responsibilities
  • Provide administrative support to the Director(s) and other members of the executive team, including coordinating meetings, preparing correspondence, and maintaining accurate records.
  • Establish and maintain administrative procedures and guidelines to ensure efficient and effective operations.
  • Act as a liaison with executive assistants and administrative assistants within the portfolio and across the health authority to ensure seamless communication and collaboration.
  • Support assigned networks, individuals, committees, or working groups, as well as other members of policy and planning.
  • Work closely with the Executive Assistant to the VP, Quality and System Performance, Corporate/Zone Executive Assistants, and Administrative Assistant to other Networks.
Requirements
  • Post-Secondary diploma in a recognized office administration, business administration, or secretarial program.
  • Undergraduate degree is an asset.
  • International Association of Administrative Professionals (IAAP) certification is an asset.
  • A minimum of 5-7 years of progressively responsible experience providing administrative support and office coordination at the executive level, preferably within healthcare and within an integrated service model provided throughout several locations with multiple partners and stakeholders.
  • Excellent communication, interpersonal, prioritizing, and organizational skills are required.
  • Demonstrated competencies requiring advanced skills and abilities in all facets of modern office practices and technology, as well as information and meeting technologies.
  • Experience utilizing technology in meeting planning to create efficiencies and streamline tracking and retrieval of information.
  • Competencies in other languages are an asset, with French preferred.
