About the Role:
Reporting directly to the Administration Manager, this position is designed for a proactive and experienced individual who is ready to take ownership of their responsibilities. The ideal candidate will demonstrate the ability to work autonomously while also contributing effectively to a collaborative team environment. We seek a detail-oriented, organized professional with strong problem-solving capabilities and the skill to manage multiple priorities efficiently. While primarily office-based, occasional travel and flexible hours may be required as the role evolves within our dynamic organization.
Key Responsibilities:
- Develop, recommend, and implement innovative processes to enhance the management of our residential properties and ensure high levels of resident satisfaction.
- Collaborate continuously with various departments to align with Accoravillage's core values.
- Deliver exceptional customer service to residents, colleagues, and partner departments.
- Play a crucial role in the leasing process:
- Assist in the creation of tenancy documentation and related procedures.
- Oversee the approval process for resident applications and lease agreements.
- Ensure meticulous maintenance of all administrative aspects of tenancy leases.
- Manage lease agreements efficiently and within established timelines.
- Process notifications regarding rent adjustments.
- Work closely with the Finance and Accounting teams to meet accounting-related deadlines, including:
- Last Month Deposits.
- Monthly Pre-Authorized Deposit procedures.
- Maintain accurate resident documentation in a timely manner:
- Resident Ledgers, Chargebacks, Parking & Locker Adjustments, etc.
- Facilitate documentation coordination between properties and the head office:
- Manage inquiries from sites.
- Provide support and training focused on operational procedures and compliance with policies and regulations.
- Oversee the complete cycle of the Above Guideline Increase process for all properties.
- Attend and contribute to meetings as required by management and site teams.
Required Skills and Qualifications:
- Comprehensive understanding of Landlord and Tenant Board legislation.
- Proficient in all Microsoft Office applications.
- Experience with Yardi Voyager is essential; familiarity with CRM Flex is a plus.
- Excellent written and verbal communication skills.
- Bilingual proficiency in French and English is advantageous.
Education and Experience:
- 3-5 years of experience utilizing Yardi as a Portfolio Administrator in residential property management.
