Role Summary: The Clinical Administrative Assistant is responsible for providing clerical support within the patient services department, ensuring efficient operation and administration of the clinic. This role involves managing patient interactions, processing referrals, and maintaining accurate information management.

Key Responsibilities:

Reception Duties:

  • Welcome patients, visitors, and staff, directing them appropriately and providing assistance as needed.
  • Register patients, verifying demographic and insurance information.
  • Communicate hospital policies and procedures to patients and visitors.
  • Handle telephone inquiries and manage incoming correspondence.
  • Prioritize and relay messages to appropriate personnel.
  • Sort and distribute incoming mail and materials.

Referral Processing and Information Management:

  • Log and review incoming referrals for completeness, following up as necessary.
  • Create and maintain patient charts, ensuring all forms are accurately completed.
  • Update patient information in databases and make reminder calls for appointments.
  • Assist new patients with required questionnaires and provide information as needed.
  • Ensure proper processing of discharged patients and manage chart transfers.

Patient Administrative Services:

  • Schedule outpatient appointments and manage follow-ups.
  • Explain preparation requirements for tests and visits.
  • Coordinate with internal and external departments for appointments and tests.
  • Arrange transportation for patients when necessary.
  • Enter physician orders and other patient information into the system.

Administrative Operations:

  • Prepare clinic lists and manage supply orders.
  • Maintain payroll records and manage scheduling.
  • Transcribe reports and correspondence as required.
  • Process financial transactions and manage billing inquiries.

Compliance and Safety:

Adhere to the Occupational Health & Safety Act, reporting any hazards or deficiencies promptly.

Qualifications:

  • High school diploma or equivalent is required.
  • Completion of a Medical Terminology course is required.
